Assistant

NOTE Gixel GmbH and Viaholo GmbH work together as a research cooperation on the future of communication. Viaholo is a 100% subsidiary of Sprin-D, and thus of the Federal Republic of Germany.

Our goal is to lift remote communication to the next level. We want to achieve this by innovating a new generation of augmented reality experience. 

We are seeking a highly organized and detail-oriented Assistant to join our team. The ideal candidate will be responsible for various administrative tasks, including office maintenance, invoicing, travel bookings, documentation and supplier coordination. The Assistant will play a crucial role in maintaining the smooth functioning of the office environment and supporting different departments in their administrative needs.

You will
  • keep the office, workshop and common areas tidy and organized (general cleaning is handled by a cleaning company twice per week)
  • keep track of office supplies and place orders when necessary.
  • upload invoices to the accounting system. Get in contact with suppliers to acquire missing documents.
  • make travel bookings for employees and manage the travel expenses reports.
  • manage incoming and outgoing parcels.
  • local errands and pickups from nearby suppliers.

You have
  • a proactive and self-motivated attitude, with a sense of responsibility and attention to detail.
  • interest to create a nice and lovely environment for you and your colleagues
  • organizational skills with the ability to handle jumping between tasks and prioritize.
  • no worries to learn and use new software / websites.
  • the ability to maintain confidentiality and handle sensitive information with discretion.
